INFORMATION NOTICE ON THE PROCESSING OF PERSONAL DATA

The primary purpose of the Personal Data Protection Law No. 6698 (the “Law”), which entered into force upon its publication in the Official Gazette on 7 April 2016, is to protect the fundamental rights and freedoms of individuals, particularly the right to privacy, in the processing of personal data. As the Sabri Ülker Food Research Institute Foundation (the “Foundation”), we exercise the utmost care to ensure that your personal data is processed and protected in compliance with the Law, secondary legislation and the decisions of the Personal Data Protection Board. Through this Information Notice on the Processing of Personal Data (the “Information Notice or Privacy Notice”), we aim to inform you, as the data controller, regarding the processing of personal data obtained by us.

Which Personal Data Do We Process?

Identity Information:

Name, surname, date of birth, age, nationality information, signature

Contact Information:
Telephone number, e-mail address, business address/institution address, country of residence

Professional Experience:
Name of institution/organization, position/title, academic degree, area of expertise, curriculum vitae, publication information, field of research, information regarding the study/project subject to the application, research summary, scientific achievement information, reference letters, jury evaluation notes and scores

Visual Records:
Photograph, video recording

Transaction Security:
Website usage records, IP address, log records, cookie information, application system login and usage information

Other:
Other information and documents shared within the scope of the application form, finalist information, records relating to the award delivery process, request and complaint contents

By Which Methods, For Which Purposes and Based on Which Legal Grounds Do We Process Your Personal Data?

Your personal data is obtained through the award application portal, website, online application forms, reference upload systems, e-mail, telephone, physical and electronic documents, event and ceremony records, and other channels through which you share information with the Foundation.

Your personal data falling within the categories of identity information, contact information, professional experience, transaction security and other information are processed, based on the data processing condition set forth under Article 5/2(c) of the Law, namely “it is necessary to process personal data of the parties to a contract, provided that such processing is directly related to the establishment or performance of a contract”, for the following purposes:

  • Receiving, recording and reviewing your award application
  • Evaluating whether you satisfy the application requirements
  • Reviewing your application documents
  • Collecting reference letters and matching them with your application
  • Evaluating applications by the jury, scientific board, evaluation committee and relevant teams
  • Conducting finalist determination processes
  • Organizing finalist presentations, interviews or additional evaluation stages where deemed necessary
  • Contacting you regarding the application process
  • Carrying out award delivery and related administrative processes if the award is granted to you

Your personal data falling within the categories of identity information, contact information, professional experience, visual records, transaction security and other information are processed, based on the legal ground set forth under Article 5/2(f) of the Law, namely “processing is necessary for the legitimate interests pursued by the data controller, provided that such processing does not harm the fundamental rights and freedoms of the data subject”, for the following purposes:

  • Planning and conducting the award programme
  • Operating application systems and ensuring their security
  • Carrying out scientific evaluation, reporting and process management activities
  • Conducting operational processes relating to the determination of finalists
  • Planning and executing award ceremonies, conferences, meetings and similar organisations
  • Performing communication and coordination activities
  • Verifying the accuracy of the information provided by applicants and, where necessary, conducting verification processes.

Your personal data falling within the categories of identity information, contact information, professional experience, visual records, transaction security and other information are processed, based on the legal ground set forth under Article 5/2(ç) of the Law, namely “processing is necessary for the data controller to fulfil its legal obligations”, for the following purposes:

  • Ensuring that activities are carried out in compliance with applicable legislation
  • Monitoring and conducting legal affairs
  • Carrying out retention and archiving activities
  • Providing information to authorised persons, institutions and organisations
  • Fulfilling audit, compliance and reporting obligations

Your personal data falling within the categories of identity information, contact information, professional experience, visual records, transaction security and other information are processed, based on the legal ground set forth under Article 5/2(e) of the Law, namely “processing is necessary for the establishment, exercise or protection of a right”, for the following purposes:

  • Receiving, evaluating and responding to requests and complaints
  • Managing potential objection and dispute resolution processes
  • Fulfilling evidentiary and burden-of-proof obligations
  • Retaining personal data throughout the applicable general statute of limitations period

Photographs and video recordings taken during award ceremonies, conferences, meetings, finalist presentations and similar events may be processed, based on your explicit consent pursuant to Article 5/1 of the Law, for the purpose of being used on the Foundation’s website, social media accounts, printed and digital promotional materials, annual activity reports, press releases and corporate communication activities. Within this scope, explicit consent will additionally be obtained from individuals whose photographs or images are taken and published.

To Whom Are Your Personal Data Transferred?

Your personal data within the categories of identity information, contact information, professional/academic information, transaction security information, visual and audio records, and other information may be transferred, in accordance with Articles 8 and 9 of the Law and for the purposes specified above, to Yıldız Holding A.Ş. and/or companies directly or indirectly managed by Yıldız Holding shareholders; information technology, software, hosting, technical support, organisation and consultancy service providers from whom services are obtained, jury members, members of the scientific board, members of the evaluation committee, relevant persons involved in the reference process, legally authorised public institutions and organisations, and legally authorised private persons where requested, for the purposes of:

• conducting business processes,
• carrying out application and evaluation processes,
• ensuring the execution of organisational and operational activities, and
• conducting legal, audit, information technology and reporting processes,

in compliance with the rules governing the transfer of personal data.

Due to the international nature of the award process and the possibility that individuals located abroad may participate in the jury and/or evaluation boards, certain personal data that you share within the scope of your application may be shared with jury members, evaluators and service providers located abroad. Such transfers shall be carried out in compliance with the rules governing the transfer of personal data abroad pursuant to Article 9 of the Law.

Furthermore, where you have provided your explicit consent, your photographs, video recordings and audio recordings may be shared with the public through the Foundation’s website, social media platforms, printed and digital publications and similar channels within the scope of the Foundation’s corporate communication and promotional activities. The name, title, institution and summary information relating to the award-winning work of the successful applicant may also be disclosed to the public for the purpose of announcing the award process.

What Are Your Rights Regarding Your Personal Data?
